Browse/Upload

Documents must be in one of these formats: .pdf, .txt, or .tif/.tiff. Convert your document before uploading. The maximum size for uploading a single document is 20MB.

Note: Password-protected .pdf documents may cause printing/downloading issues; remove the document security feature before uploading to the Trio folder.

  1. Click Add Documents in the Trio Actions menu.

  2. Select the Browse for Document(s) radio button.

  3. Select the Document Type (required) and enter a Document Description (optional).
    You have the option of displaying the document types in alphabetical order.

  4. Click Browse... and locate the file on your computer.
    Note: acceptable file format types = .pdf, .tif, .tiff, .txt

  5. Repeat steps 3-4 for each document you would like to upload. Click Add More to expand the page if needed.
    Note: click the next to any line item/document you wish to delete.

  6. Click Finish/Add Documents.

  7. Trio will check for receipt of the document automatically and update the document status from Pending to In Folder. Click Refresh Data to restart the process.

Convert Files for Upload

Acceptable file formats for uploading documents to the Trio Folder are: .pdf, .tif, .tiff, or .txt. The file extension (the letters after the "dot" at the end of the name) indicates the file format: e.g., "Filename.txt" or "Filename.tif" or "Filename.pdf".

Remedy upload problems:

  1. Fax a hard copy of any document to add it to the Trio folder if you are having trouble with the direct file upload method.
    - OR -

  2. Convert documents to an acceptable format.
    Note: Microsoft Word documents (.doc) are typically converted to text (.txt) files.

    • Convert using "Save As…"
      Open the original document, click File from the menu/toolbar, and choose Save As… Select an acceptable file format from the Save As Type drop-down list.
      Note: .txt denotes a text file; .tif or .tiff stands for "tagged image format" and is used for scanned or image files.

    • Convert to Adobe PDF
      PDF (file extension .pdf) stands for Adobe's Portable Document Format. Convert to Adobe PDF may not be an option in your document software. If it is available, choose Adobe PDF > Convert to Adobe PDF from the toolbar.

  3. Remove password security on .pdf files intended for direct file upload (Trio cannot bypass security measures to access a password-protected file).

Fax Documents

  1. Click Add Documents in the Trio Actions menu.

  2. Select the Fax Document(s) radio button.

  3. Select the Document Type (required) and enter a Document Description (optional).
    You have the option of displaying the document types in alphabetical order.

  4. Create a separate Document Type/Description for each document or document grouping that will be faxed (step 3). A separate coversheet will print for each Document Type. Click Add More to expand the page if needed.
    Note: click the next to any line item/document you wish to delete.

  5. Click Finish/Create Coversheets. A new window will open to display the coversheet(s).
    Note: the barcode on a coversheet identifies each document or document groupings, consisting of the pages immediately following the coversheet in a fax transmission. The barcode MUST print cleanly, in black and white - with no gray, shading or smudging - to be read properly.

  6. Click Print in the coversheet window. Click OK to print.
    XP Users: The barcode must print as a black and white image to be read properly. Click Advanced in the Print pop-up box, and select "Print as Image."

  7. Assemble documents for faxing. It is extremely important to place each coversheet on top of each appropriate document or document grouping, ensure that document pages are in the correct order, and place the appropriate coversheet before the document when faxing. Fax to: 888.550.TRIO (888.550.8746).

  8. Close the fax coversheet window and click Return to Trio Folder.

Tips for Faxed Documents

  • Separate documents with the appropriate coversheet: Documents faxed into the Trio folder are identified solely by the barcode on the fax coversheet. Documents added via fax are saved/displayed as .pdf files in the Trio folder – one barcode ID from a coversheet will correspond to one .pdf file in the Trio folder. That means if you send three different documents under one coversheet in a single fax transmission, Trio will compile them into one .pdf file. Be sure to separate documents with their corresponding coversheet when faxing multiple documents to the Trio folder.
  • Fax coversheets can be used only ONCE. A coversheet can be used for one, and only one, successful fax transmission. If your document is in a Pending status in the Trio folder, you may reprint a coversheet to complete a successful transmission. Once a faxed document has been Received, however, the coversheet should not be reused.
  • Update document pages or correct misordered pages: Click Add Documents to print a NEW barcoded coversheet. When your new fax transmission is received (and you are satisfied with the result), you may delete the old version of the document from the Trio folder.
  • Change Document Type and/or Description: Select Edit Info from the Document Actions menu. You do NOT need to fax the document again.
  • Still in Pending status:
    • Confirm the fax transmission was successful: Most fax machines provide a transmission report verifying success or alerting you to errors in the transmission. Actual transmission times may vary, but most documents are received within five minutes of a successful fax transmission.
    • Verify the fax number: If necessary, re-fax to 888.550.8746.
    • Check the barcode: Be sure the barcode on the coversheet has printed cleanly as a black-and-white image.
    • Verify the coversheet: Be sure the document was faxed with its coversheet, with the coversheet immediately preceding the document.
  • Amend the settings in Internet Explorer: if the previous fax coversheet displays, select Tools > Internet Options... On the General Tab, click Delete Files (and click OK in the dialog box), then click the Settings... button and choose "Every visit to the page."

One-click method

  1. Select the document you wish to add from the Trio Actions menu.
    Note: If the document you're updating was originally added via the one-click method, clicking Add will update the version based on the most recent data entry. However, if the document was added via, for example, fax, then clicking Add will add a new document to the Trio folder.

eMagic Message Center Docs

  1. Third parties (borrower, appraiser, etc.) can send documents via the eMagic Message Center. Such documents are automatically added to the borrower's Trio Loan Folder.
